Who We're Looking For
The Client Relationship Specialist is an essential member of our client-facing team, responsible for providing outstanding service and administrative support to our clients and advisors. This role serves as a primary point of contact for client inquiries and plays a critical role in ensuring smooth day-to-day operations. The ideal candidate is detail-oriented, personable, and passionate about helping others achieve their financial goals.

Key Responsibilities
Client Service & Communication
• Serve as the face of the organization, creating a welcoming and professional first impression for all clients and visitors
• Serve as a primary point of contact for client inquiries via phone, email, and in-person meetings
• Respond promptly and professionally to client requests, questions, and service needs
• Schedule and coordinate client meetings, reviews, and appointments
• Prepare meeting materials, agendas, and follow-up correspondence
• Maintain proactive communication with clients to ensure a high-touch service experience
Account Administration
• Process new account paperwork, account transfers, and beneficiary changes (with advisor support)
• Coordinate money movements including contributions, distributions, and wire transfers (with advisor support)
• Maintain accurate and up-to-date client records in CRM and document management systems
• Work with custodians and third-party providers to resolve account issues
• Track and follow up on pending items to ensure timely completion
Advisor Support
• Assist advisors with meeting preparation, including gathering account data and generating reports
• Support the client onboarding process to ensure a seamless experience for new clients
• Help prepare financial planning materials and presentation documents
• Manage calendar coordination and scheduling for the advisory team
Qualifications
Required
• 1+ years of experience in client service, administrative support, or financial services
• Exceptional interpersonal and communication skills, both written and verbal
• Strong attention to detail and organizational abilities
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
• Professional demeanor with a client-first mindset
• Ability to pass a criminal background check and a credit history check, both prior to hire and on an ongoing basis during employment
• Credit history that meets the screening standards of our affiliated broker dealer. Unresolved delinquencies, repeated late payments, collections, charge-offs, judgments, tax liens, or bankruptcy may disqualify a candidate from employment or continued employment
Preferred
• Experience working in a financial advisory firm, RIA, or wealth management environment
• Familiarity with CRM systems (e.g., Redtail, Wealthbox, Salesforce)
• Experience with custodial platforms (Schwab, Fidelity, Pershing)
• Knowledge of financial planning concepts and investment terminology
Compensation & Benefits
• Annual salary commensurate with experience

? Senior Client Relationship Specialist: Take on leadership responsibilities including training new team members, managing complex client situations, and overseeing service workflows across the firm
? Paraplanner: Transition into a technical planning role, preparing financial plans, conducting investment research, and working directly with advisors on client recommendations
